The role of the office supplier has evolved. Paper, pens, folders and printer consumables remain essential, but today’s organisations need more than a well‑stocked stationery cupboard. They need workplaces that are clean, safe, comfortable, equipped for collaboration, and simple to manage.
That is why modern suppliers are becoming broader workplace partners, sourcing everything from stationery and printing supplies to furniture, hygiene, catering essentials, safety equipment, storage and packaging. This shift is driven by clear customer needs: fewer suppliers to manage, simpler spending, reliable availability, and a better experience for everyone in the workplace.
Traditional Range Is Evolving
For years, the office-products sector was built around familiar categories: general stationery, paper, ink and toner, and office furniture. While those items are still important, digitalisation and reduced printing have weakened demand for some traditional consumables. In a 2025–26 study of senior industry executives across seven markets, 86% of respondents reported that demand by value for core office products had continued to decline in 2025.
At the same time, demand has been growing in categories that help businesses run and maintain their workplaces. The same research identified cleaning and catering as the fastest-growing product areas, while just under half of respondents also highlighted PPE and workwear as significant growth categories.
These are no longer side-lines. Janitorial and sanitation products, breakroom and catering supplies, and workwear and safety products now account for an average of 25.6% of distributor sales, with maintenance, repair, and operations products adding another 2.4%. The message is clear: customers increasingly want their supplier to support the full working environment, not just the desk.
One Supplier Fits All?
A workplace partner brings several everyday purchasing needs together. Instead of placing separate orders for stationery, cleaning materials, tea and coffee, first-aid supplies, storage, and packaging, an organisation can manage more of those purchases through a single supplier relationship.
The potential advantages are straightforward:
- Fewer purchase orders, supplier accounts, invoices, and deliveries to manage.
- More consistent product choices across departments or locations.
- Easier repeat ordering through a single account or online ordering system.
- Better visibility over spending across workplace categories.
- Less time spent sourcing routine, low-value items from multiple vendors.
This matters at a time when organisations are under pressure to manage operational costs. JLL’s 2025 global facilities-management research found that 84% of leaders saw escalating costs and budget constraints as a leading concern, while 81% identified cost efficiency and budget optimisation as priorities for the year ahead. Consolidating contracts and suppliers was highlighted as a key cost-reduction measure, alongside working with providers that understand the customer’s business and can act as strategic partners.
What They Can Supply
The range can be much broader than many customers expect. Everyday office products, paper, stationery, filing, labels, printer supplies, and desk accessories, remain the foundation. But they now sit alongside products that help staff work safely and comfortably, and help premises operate smoothly.
Workplace Changes
Facilities management is no longer only about keeping a building operational. It increasingly affects employee wellbeing, safety, productivity, and how people feel about spending time in the office. JLL’s research found that workplace wellbeing and safety rank second among facilities-management priorities, alongside reliability and resilience. It also reported a strong correlation between a positive workplace experience and employees’ views of office-attendance policies.
That gives everyday supplies a greater role than they may appear to have. Comfortable seating, tidy storage, reliable printing, stocked washrooms, well-equipped kitchens, clean shared spaces, and accessible safety products all contribute to a workplace that functions well.
For office suppliers, the opportunity is not simply to sell a wider catalogue. It is to help customers make the day-to-day workplace easier to run. That may mean recommending a more efficient storage system, supplying cleaning and catering essentials alongside stationery, or helping an organisation set up furniture that supports different styles of work.
The Bottom Line
Price will always matter, but value is now broader than the cost of a box of paper or a pack of pens. Customers increasingly look for reliable delivery, fewer administrative tasks, simple ordering, appropriate product choices, and support across the whole workplace.
The office supplier of today is therefore becoming a practical extension of the customer’s operations team: helping organisations equip, organise, maintain, and improve the spaces where work happens. Pens and paper still have their place, but they are now part of a much bigger workplace picture.
